AS – ST – Custom Import – Academics – Programs

In this lesson, you’ll learn how to prepare and import Program Master data into TEAMS to support accurate academic setup across your organisation. Programs drive key academic functions in TEAMS, including subject sequencing, study periods, training plans, timetables, offer letter duration, and AVETMISS reporting. Ensuring programs are imported correctly is essential for downstream academic and compliance processes.

You’ll learn how to:

  • Navigate to the Custom Import screen and select the Programs import option.
  • Download and use the Programs Excel Guide to understand mandatory fields, conditional rules, and formatting requirements.
  • Prepare a clean CSV file where each row represents one program and meets TEAMS’ data structure guidelines.
  • Understand key fields such as Program Code, Program Name, Descriptive Code, Descriptive Name, Hrs Per Week, Study Weeks, and Holiday Weeks.
  • Follow TGA alignment requirements for descriptive fields used in AVETMISS exports and official documents.
  • Map CSV columns to TEAMS fields accurately using the import mapping screen.
  • Choose between Add New Entries, Skip New Entries, Overwrite, or Skip depending on whether you are creating new programs or updating existing ones.
  • Submit your file and monitor progress through the Custom Import Dashboard, including handling success, warning, and error files.
  • Resolve import issues by reviewing error messages, correcting your CSV, and re-uploading the updated file.
  • Validate your import by reviewing at least 10% of program records directly in the Program Entry screen to ensure accuracy before linking subjects or generating study periods.
