AS – ST – Custom Import – Academics – Subjects

In this lesson, you’ll learn how to prepare and import Subject Master data into TEAMS to ensure accurate academic setup across your organisation. Subjects are the foundation of all academic processes in TEAMS—program structures, timetables, result entry, and AVETMISS reporting all rely on subjects being created correctly in the system.

You’ll learn how to:

  • Navigate to the Custom Import area and select the Subjects import option.
  • Download and use the Subject Excel Guide to understand mandatory fields, conditional rules, and formatting requirements.
  • Prepare a clean CSV file where each row represents one subject and follows TEAMS’ data rules.
  • Understand key subject fields such as Subject Code, Subject Name, Descriptive Code, Descriptive Name, Campus, and Type of Subject.
  • Map your CSV columns to TEAMS fields accurately using the import mapping screen.
  • Choose between Add New Entries, Skip New Entries, Overwrite, and Skip depending on whether you are creating or updating subjects.
  • Submit your file and monitor progress through the Custom Import Dashboard, including handling success, warning, and error records.
  • Correct errors in your CSV and re-upload the revised file as needed.
  • Validate your import by reviewing subjects in the Subject Entry screen to ensure accuracy before linking them to programs and timetables.

By the end of this lesson, you’ll know how to import subject data correctly and efficiently, helping your team maintain accurate academic records and ensuring downstream processes—such as timetables, results, and AVETMISS reporting—run smoothly and reliably.

IMPORTANT: Before using the imported subjects in programs or timetables, always verify a sample of records to confirm that mandatory fields, descriptive codes, and published TGA information are correct.
