In this lesson, you will learn how course progress is calculated in TEAMS and how subject date setup directly impacts progress percentages, warnings, and compliance.

Key points covered include:

  • Why accurate subject dates matter
    Course progress percentages are calculated based on subject start and end dates. If these dates are incorrect or changed mid-study, progress percentages can drop and previously issued warnings may no longer be valid, creating a compliance risk.

  • Preferred method: program-level subject structure
    The most reliable way to manage subject dates is by setting up subjects at the program level with:

    • Correct sequence numbers

    • Defined study durations
      This allows TEAMS to automatically calculate subject dates across the enrolment.

  • Using Group Training Plans (GTPs)
    Subject dates can also be assigned through Group Training Plans, where program subjects are linked to specific intake schedules. This requires:

    • Separate training plans for each intake and year

    • Ongoing maintenance to ensure accuracy

  • Direct enrolment date copying (not recommended)
    Copying enrolment start and end dates directly into all subjects is not a best practice. Students do not start and finish all subjects on the same dates, and subjects should not all end in the final study period.

  • Compliance best practices

    • Finalise enrolment and subject dates before the course commences

    • Avoid making changes mid-study period

    • Never shorten subject end dates after warnings have been issued

    • Always maintain an audit trail of any changes

    • Do not rely on copied enrolment dates for progress calculations
