Overview of Fees Setup

In this lesson, we’ll guide you through the correct way to set up and link fees across various levels in the system to ensure smooth and accurate fee management. Linking fees properly helps avoid duplication and errors, providing clarity during the enrolment process.

Fees can be linked at multiple levels, including Campus, Program, Subject, Intake, or Organization. It is essential to verify the appropriate level before linking fees to ensure they appear correctly in the drop-down menu during enrolment. Improper linking, such as attaching the same fee at both campus and program levels, can cause fees to appear multiple times, leading to errors.

To prevent duplication and improve efficiency, use specific naming conventions for different academic streams, such as VET and ELICOS. For instance, Material Fees should be linked to the correct programs, like commercial cookery, which may have higher material costs due to uniforms and equipment, compared to a business program that may only require textbooks.

When linking Application Fees, it’s best to attach them to a single level. For example, if the same application fee applies to all VET programs, link it at the campus or organization level rather than to each individual program. If you offer multiple academic streams like VET, ELICOS, and Higher Education, use distinct names (e.g., “VET Application Fee,” “ELICOS Application Fee”) to avoid confusion.
